    Turas Appraisal is the application for recording the appraisal information of Health and Care staff across Scotland.

    Turas Appraisal Reporting for Line Managers & Reviewers

    A new development within Turas Appraisal is now available for Line Managers and Reviewers.

    A Team Progress Dashboard has been created for Line Managers and Reviewers that details how many of the staff you line manage/review on Turas Appraisal have had a completed Appraisal within the last 12 months. You will be able to track progress throughout the year, including when objectives and PDP's have been singed off and if a current appraisal has been started. To view this information an additional button now appears within your ‘My Team’ tile on your Turas Appraisal homepage.

    NHS 24

    Turas Appraisal is a modern platform developed by NHS Education for Scotland, which has been designed to capture the output of appraisal discussions, and to record objectives and personal development plans.

    It is designed to be an intuitive system which should be straightforward to use,however, guidance documents are available and guidance is also included on each page within the site.

    The design of Turas Appraisal focus's on supporting the conversations which take place between staff and managers - rather than requiring 'evidence' to be added for each dimension, the focus will be on capturing the key outputs from the annual review conversation under the headings of:

    • What has gone well this year?
    • What might have gone better?
    • What difference do I want to make next year

    The Turas Appraisal platform also has specific functionality for managing the Executive Appraisal process, for Executive team members and for senior managers for whom this is relevant.  There are sections for Objective Setting, Mid Year Review and End of Year Review, with guidance documents available for each area.

    NHS Education for Scotland

    Turas Appraisal is the national, online recording and monitoring system for the Performance Review and Planning process (PR&P), which has replaced e-KSF.

    We use this to record and update any/all performance related evidence regarding our personal development.

    On here you will find:

    • KSF Post Outlines
    • You annual Objectives
    • Your current and any historical annual Performance Review document(s)
    • A record of your training activity in the form of your Personal Development Plan

    Who is it aimed at?

    ALL NES staff will have Turas Appraisal login details provided by the Training HR team when they commence employment with NES, and they are required to use this, as directed, to record and update their PR&P activity.

    Help and support

    Any queries that you have about Turas Appraisal must be sent to ksf.admin@nes.scot.nhs.uk which is the mailbox for the Administrators within NES.

    Turas Appraisal is hosted by NES and provided for use by all 22 Boards which includes NES. Should your query require additional technical support then the NES Administrator will raise it with the Digital team.

    Please do not contact Digital direct as your query will not be actioned.

    How can I access my Turas Appraisal account when I move from another Board?

    All users of Turas Appraisal have one account for the application that contains all your current and terminated employments. When your employment is terminated at your previous Board it will update through to Appraisal.  At this point the email address attached to your account will still be the same as it was from your previous Board and you can continue to access it using your existing details.

    The details for your new employment will also update on to your existing account too and it will appear on your Appraisal homepage. Your previous employment will appear under the My History option on your homepage.

    You may want your account to be updated to show your NES email address and you can request this by emailing ksf.admin@nes.scot.nhs.uk.  Once your email address has been updated on your account you will be sent a confirmation email.  In the meantime, while you await confirmation you can still log into your Appraisal account.

    To ensure consistency of recording within the system, four common scenarios have been developed.  Please read through them and see which scenario applies to you.

    NHS Golden Jubilee

    TURAS Appraisal is a component part of the TURAS single unified digital platform for health and social care professionals, which has been developed by NHS Education for Scotland (NES).  TURAS Appraisal has been designed to capture the output of appraisal discussions, and to record objectives and personal development plans.  It is a replacement for eKSF.

    Scottish Ambulance Service

    The Turas Appraisal system has been in development in order to replace eKSF for the recording of all development reviews.  The system has been developed in response to staff feedback to provide a streamlined and simpler user interface.  On 2 April 2018 all Agenda for Change staff in NHS Scotland will receive their Turas Appraisal username and password by e-mail.  This will be your chance to log on to the system, get familiar with the layout and create a password of your choice.  The system has a simple design and has in-built guidance on each section (PDPs, objectives, etc) to explains its function, therefore there is no need for additional training to use Turas.

    You do not need to take immediate action, however you should discuss with your manager how you will begin to record the outcome of your next scheduled development review meeting on the system.  The next steps for the Turas Appraisal implementation will include the transfer of legacy information from e-KSF (PDP, Objectives & Personal Development Review) to make it available for you to view and the development of an app to support ease of access.  Thereafter the functionality of the system will be developed based on priorities agreed by all Boards.   As additional information is received will be posted on the pages.  In the meantime if you have any questions, we have created a dedicated email address for all Turas enquiries (scotamb.turas-sas@nhs.net).

    Turas Learn is NHS Education for Scotland's platform for learning and support resources. It provides NHS Scotland health and social care staff with access to learning and practice support resources produced by NHS Education for Scotland and is available for all staff by registering through the link below.

      1) I have not received a Turas Appraisal login, how do I request this? 

      Your Turas Appraisal login details will be sent out as part of the joiners process. This process can take up to 4 weeks from your start date. If you have not received account details after this time, please let HR know by completing the Contact Us form.

      2) How do I change my email address?

      Here is the guide on How to change the email address on your Turas account 

      3) How do I reset my password?

      You can do this yourself using the ‘Forgot your Password' link on the home sign in screen. You are required to enter your email address and then enter the verification code that is sent to you to start the reset process. This code is sent from Microsoft, which is the platform that Turas sits on, and is only valid for 5 minutes from when it is received.   If you do not activate with the code during the 5 minutes the code will not work.You will then be able to update your password - make sure you follow the guidance for passwords, e.g., 8 to 16 characters combining upper case and lowercase.  Your password MUST contain at least one number and one special character/symbol. 

      If you have issues with the verification code then we recommend that you use the Contact Us form and we will email a password to you. You will still have to reset your password but it does not involve using a verification code.

      4) My post outline is incorrect, how do I change this?

      Your line manager can assign your correct post outline to you using the generic library available in Turas Appraisal. 

      5) My line manager is incorrect?

      Line managers are responsible for ensuring that staff have the correct managers. Please speak with your current line manger who will follow the process of completing a NOC form to ensure eESS is up to date, which will then be reflected in your account.

      6) My reviewer is incorrect

      Your line manager is able to assign a reviewer to you. Please speak with your current line manager to who will follow the process to amend your reviewer.  

      7) My job title is incorrect, how do I update this?

      Your job title is an automatic feed from eESS. Please complete a NOC form to have the system updated.

      8) Who inputs information into Turas?

      The system is designed for the individual staff to be responsible for entering the data. The purpose of this tool Turas Appraisal is to support staff and reviewer to have the important discussion, and record this on Turas Appraisal. However, in certain instances where the employee is unable to input themselves, the reviewer is able to input on the employees behalf.

      9) When do I sign off my appraisal? 

      You are only required to sign off your appraisal at the end of the review cycle, between February and March. The appraisal should be left open throughout the year, until this time, including at the mid-year review stage.

      DO NOT Select ‘Confirm & Agree’ until the end of the appraisal period 

      10) Myself and my reviewer have signed off my appraisal in error, what do I do?

      An appraisal that has been confirmed and agreed by both parties will not be able to be unlocked and you will have to start again with a new appraisal document.

      11) Do you have to have completed your appraisal before pay increment?

      No, in NHS Scotland and Turas Appraisal there are no links to gateways currently linked to pay.

      12) Can an appraisal be rolled forward to the following year?

      Appraisals should not be rolled onto the next year. Ensure that you close off your end of year review and begin a new appraisal for the following year.

      13) Can I complete my review on paper and then upload?

      No. Appraisals should be completed within the system.

      • can carry out all appraisal and PDP actions
      • can input on a staff members behalf
      • can not change post outline

      If on Mat leave, the Line manager can meet with individual for KIT day and complete. If not, the appraisal will remain open and show as open on reports. This would be the same case if the individual is on long term leave. In this instance, the SBU Director would add in as narrative at their end of year review to explain percentage figures. The HR Business Partner would report on this also, you can contact them to alert them to the situation.
