In this section you will find the NSS First Aid Procedure, associated information and key Health & Safety Executive guidance to assist NSS management and staff to meet the legal obligations around First Aid requirements in the workplace.
If you feel unwell at work and need to use the First Aid room, the first point of contact should always be an Appointed First Aider who will then take you to the First Aid room and inform your line manager.

By dialling these numbers, the caller will be put through to a First Aider in the in the building who is available to help.
It is then the duty of the First Aider to inform reception or site equivalent that the First Aid room is in use for awareness purposes only. The First Aider should make regular checks on the patient and keep reception staff or site equivalent and line manager updated.
NHS 24 cares about its employees and provides first aid cover to ensure their health, safety and welfare whilst at work. The provision of First Aid within NHS 24 is subject to statutory obligations under the Health and Safety Regulations 1981 along with the supporting code of practice.

Scottish Ambulance Service
The purpose of first aid is to preserve life, prevent deterioration and promote recovery until professional assistance is sought. The Scottish Ambulance Service (SAS) recognises and is fully committed to providing a sufficient number of persons to administer first aid to Staff if they become ill or are injured at work.
SAS will provide information and training in first aid to sufficient numbers of Staff in order to ensure that statutory requirements and the needs of the organisation are met.
- Are NSS nominated first aiders allowed to give tablets and medication to casualties?
First aid at work does not include giving tablets or medicines to treat illness. The only exception to this is where aspirin is used when giving first aid to a casualty with a suspected heart attack, in accordance with currently accepted first-aid practice. It is recommended that tablets and medicines should not be kept in the first-aid box.
Some workers carry their own medication that has been prescribed by their doctor (e.g. an inhaler for asthma). If an individual needs to take their own prescribed medication, the first-aider's role is generally limited to helping them to do so and contacting the emergency services as appropriate.
However, this does not apply to the administration of prescription only medication specified in Schedule 19 of the Medicines Regulations 2012, where this is for the purpose of saving life in an emergency. Adrenaline 1:1000 up to 1 mg for intramuscular use in anaphylaxis is an example.
Where a first aid assessment identifies that Schedule 19 medication may be required to be administered in an emergency, the employer should consider providing workplace first aiders with additional training in their use.
- I’m a NSS Nominated First Aider and my certificate is about to expire. What do I need to do?
NSS Nominated First Aiders are responsible for keeping their knowledge and skills up to date, and ensures that they complete their refresher training before their certificate expires.
First Aid Refresher Course (2 days)
The process for booking a refresher first aid certificate is as follows:
- NSS Nominated First Aider to complete the NSS Appointed First Aider, Authority for Certificate Renewal Form (2 day)
- This requires to be sent for agreement and authorisation by the Site H&S Chair or BUG Chair. They are responsible for reviewing the First Aid Risk assessment and local numbers / needs and authorise.
- This form and authorisation should be emailed to the NSS.email@example.com - this course can only be booked via the central HWL team.
- If the training request is successful you are required to add this training to your PDP
- Once you have successfully completed the approved first aid course, your certificate will be received via the HWL Team, this will be forwarded to you, along with a NSS Appointed First Aider Role Specification and a First Aid Payment Form
- Once you receive your certificate you will be responsible for ensuring that your Site BUG Chair adds your name to the Building NSS Approved First Aid database and telephone call pickup,
- Once you have received your certificate, you are responsible for your first aid payment form to be signed off by your Line Manager, Director/ H&S nominated person and BUG/H&S Chair. Once this authorisation has been agreed, you are responsible for forwarding this form to payroll.
- If you decide that you no longer wish to be a NSS Nominated First aider you are responsible for contacting the H&S/BUG Chair and payroll.

- What should be kept in the first-aid room?
Typical examples of the equipment and facilities a first-aid room may contain are:
- a sink with hot and cold running water;
- drinking water and disposable cups;
- soap and paper towels;
- a store for first-aid materials;
- refuse containers, lined with yellow, disposable clinical waste bags or a container suitable for the safe disposal of clinical waste;
- an examination/medical couch with waterproof protection and clean pillows and blankets;
- a chair;
- a telephone or other communication equipment; and
- a record book for recording incidents attended by a first-aider or appointed person.
- I’m a first aider, what information do I need to record and where?
NSS nominated first-aiders and appointed persons are required to complete a First Aid Treatment Log to record incidents they attend. This information can help identify accident trends and possible areas for improvement in the control of health and safety risks. It can be used for reference in future first-aid needs assessments.
Useful information to record includes:
- the date, time and place of the incident;
- the name and job of the injured or ill person;
- details of the injury/illness and what first aid was given;
- details about what happened to the person immediately afterwards (eg went back to work, went home, went to hospital); and
- the name and signature of the first-aider or person dealing with the incident.
When a NSS Nominated first aider or appointed person attends an event, then the treatment log should be sent to the Healthy Working Lives Team for collation. NSS have overall responsibility for these records.
- Who should have access to the first-aid room?
First Aid rooms should be reserved specifically for providing first aid and a designated person (first-aider or appointed person) should be given responsibility for supervising it.
The room should be easily accessible to stretchers and be clearly signposted and identified.
- Who is responsible for First Aid within NSS buildings?
Building User Groups operates in Partnership, members are appointed to represent each SBU and NHS organisation who are based within any particular building. Its purpose is to ensure any shared building related issues are raised, including those that could affect people’s occupational health & safety are discussed and adequately addressed within a reasonable timeframe;
Building User Groups are chaired by a SBU Director / Senior Manager, who has the responsibility for the agreed ‘common’ areas within that building. BUG’s support Facilities Management in providing a monitoring, advice and support service to local managers and staff to help manage and control all H&S risks associated with the local work environment, building fabric and site premises. Ensuring any required remedial action is completed within agreed timescales All areas of a building not recognised as ‘common’ are the responsibility of the occupying Strategic/Support Business Unit.
Building User Groups are responsible for Governance over agreed ‘common areas’ or alternatively where an SBU Director determines that a SBU Health and Safety Committee is an appropriate way of dealing with issues.
Specific Building User Group duties under this procedure are required to:
- Ensuring the Site First Aid Risk Assessment is completed and reviewed at regular intervals or after any significant changes e.g. an increase in number of employees on the site;
- Approval of any new First Aid training requests, following sign off by the SBU H&S Committee Chair;
- Ensure there is appropriate representation from across all SBU’s and other Tenants who share that particular building;
- Ensure all first aider notices and call pick-ups are up to date and reviewed on a regular basis;
- Complete, record and review the Site First Aid Risk Assessment at regular intervals and/or after any significant changes;
- Monitor and review the progress of any Facilities Management works planned or outstanding to address shared building issues, and ensure appropriate action is carried out within agreed timescales;
- Submit updates on the progress of these works to the local SBU H&S Chair to ensure any applicable works and actions are noted within their risk profile;
- Ensure communication exists between BUG’s, respective SBU committees, and staff in order that relevant key information is shared as and when required;
- Ensure all shared site/building related OH&S issues raised are appropriately discussed and investigated where necessary and are addressed within an agreed timescale;
- Ensure adequate First Aid arrangements are in place for the respective site/building based on the local first aid provision risk assessment, including sign off for any refresher training required;
- Provide feedback to staff on the progress on works being carried out to address any shared building OH&S issues;
- Where can I find the dates for the First Aid training?
NSS currently use the British Red Cross to deliver the NSS Nominated First Aid training.

- What training is required to use a defibrillator?
Health and safety legislation does not require NSS to have an automated external defibrillator (AED) in the workplace.
Where NSS has identified through the first aid risk assessment that they wish to provide an AED in the workplace, then the Provision and Use of Workplace Equipment Regulations 1998 (PUWER) apply.
For the purpose of complying with PUWER in these situations, NSS should provide information and written instructions, for example from the AED’s manufacturer, on how to use it.
However, fuller training to make the user more confident and is now an integral part of the syllabus for First Aid at Work & Refresher courses.
- What should a first aid box contain?
The decision on what to provide will be influenced by the findings of the first-aid risk assessment.
As a guide, where work activities involve low hazards, a minimum stock of first-aid items might be:
- a leaflet giving general guidance on first aid
- individually wrapped sterile plasters (assorted sizes), appropriate to the type of work (hypoallergenic plasters can be provided if necessary);
- sterile eye pads;
- individually wrapped triangular bandages, preferably sterile;
- safety pins;
- large sterile individually wrapped un-medicated wound dressings;
- medium-sized sterile individually wrapped un-medicated wound dressings;
- disposable latex gloves
This is only a suggested contents list and the contents should reflect the outcome of the first-aid needs assessment.
It is recommended that you don't keep tablets and medicines in the first-aid box.
How often should the contents of first-aid boxes be replaced?
Although there is no specified review timetable, many items, particularly sterile ones, are marked with expiry dates. They should be replaced by the dates given and expired items disposed of safely.
In cases where sterile items have no dates, it would be advisable to check with the manufacturers to find out how long they can be kept.
For non-sterile items without dates, it is a matter of judgement, based on whether they are fit for purpose.
- What level of first aid does each site/area require?
The minimum level of first aid that NSS will provide is:
- A suitably stocked first aid kit
- An appointed person to take care of first aid arrangements
- Accessible information for employees about first aid arrangements
To help your health and Safety Committee and Managers ensure that there is adequate and appropriate first aid cover they are required to complete a First Aid Risk Assessment which is held within your SBU Risk Profile. The risk assessment will provide more information and identify the:
- Type of work completed within your SBU and associated risks
- Number and categories of employees
- I have employees who travel regularly or work elsewhere, what should NSS do about first-aid provision for them?
NSS are responsible for meeting the first-aid needs of their employees working away from the main site. The first-aid risk assessment should determine whether:
- those who travel long distances or are continuously mobile should carry a personal first-aid box; and
- employees should be issued with personal communicators/mobile phones.
